2 Personal information we collect

Depending on the service you use, we collect the following information:

·        Contact and account details: your name, telephone number, email address, account identifier and saved addresses or preferences.

·        Booking and journey details: pick-up and destination addresses, dates and times, passenger numbers, instructions, allocated driver and vehicle, journey status, fares and booking history.

·        Payment records: amounts, payment method, transaction references, payment status, refunds and invoices. Card payments are handled through our payment providers, which process the card information needed to complete the transaction.

·        Communications: enquiries, messages, feedback, complaints and related correspondence. Call recording is addressed in section 5.

·        Technical and location information: information needed to operate the website or app, such as IP address, device information and service logs. Where enabled and permitted by you, the app may use your device location to help identify a pick-up point.

3 Where information comes from

We receive information from you when you book, create an account, pay or contact us. We also receive booking details from someone arranging travel for you, such as a family member, employer, hotel or account customer; journey updates from drivers; and payment confirmations from payment providers. Our booking systems generate booking references, timestamps and service records.

If you book for someone else, give them this notice and provide only information needed for the journey. We use children’s information only where necessary to arrange and deliver their travel, communicate with the responsible adult and meet applicable safeguarding or legal duties.

4 Why we use your information

Bookings and customer accounts. We use contact, booking and journey information to provide quotations, accept and manage bookings, dispatch vehicles, send service updates and administer accounts. Where you are our contracting customer, this is necessary to take steps at your request or perform our contract with you. For passengers booked by someone else, we rely on our legitimate interests in arranging and providing the requested transport.

Payments and financial records. We use transaction and billing information to collect fares, process refunds and resolve payment queries under our contract with the customer. We retain the financial information required to meet tax and accounting obligations on the basis of legal obligation.

Service management and safety. We use relevant records to investigate complaints, recover lost property, prevent misuse or fraud, protect passengers and drivers, secure our systems and establish or defend legal claims. Our basis is our legitimate interests in operating a safe, reliable service and protecting people and our business, balanced against your rights. Where a particular law requires disclosure or retention, we rely on that legal obligation.

Accessibility and health information. Tell us only the assistance you need, rather than a detailed medical history. Where we ask to record optional information revealing your health or disability to arrange assistance, we seek your explicit consent. You can withdraw that consent by contacting us. We will discuss how to arrange the assistance you need without retaining unnecessary health information.

Marketing. We seek your consent before sending promotional emails or texts. You can unsubscribe using the message instructions or contact us at any time. Booking confirmations and essential journey updates are service messages. Marketing consent is not a condition of booking.

Providing information. We need sufficient pick-up, destination and contact details to arrange a booking, and payment or billing details where required by the payment method. Without these, we may be unable to provide the requested service. Optional preferences and marketing choices are not required.

5 Calls cookies and app permissions

We record telephone booking calls through Target Telecoms, used with iCabbi, to check booking details and investigate customer queries or complaints. We rely on our legitimate interests in maintaining accurate bookings and resolving disputes, balanced against your privacy rights. We inform callers that calls are recorded. Recordings are kept for 90 days from the date of the call and then securely deleted. A relevant recording may be retained longer where necessary for an ongoing complaint, investigation, legal claim or legal obligation, and is deleted when that need ends.

Our website and app may use cookies or similar technologies to operate booking features and maintain security. Where optional tracking requires consent, we ask before using it and provide information about its purpose and how to change your choice. You can manage app permissions, including location access, through your device settings. Where available, you can enter a pick-up address manually instead of sharing your device location.

6 Who receives your information

Drivers receive the details needed to carry out your journey, including pick-up, destination, necessary contact details and relevant assistance instructions. Where a driver independently determines how information is used for their own legal or business obligations, they are responsible for that processing and should provide their own privacy information.

We share necessary information with providers supporting booking and dispatch, website and app hosting, communications and payments. These include iCabbi for booking and dispatch, Target Telecoms for telephone services, and Stripe and Pulse where used for card-payment services. Providers processing information on our behalf must follow appropriate contractual instructions and protect it. Payment providers and other organisations may also process information for their own legal or business purposes, as explained in their privacy notices.

We may share necessary information with an account customer paying for a journey; professional advisers and insurers handling a matter; and licensing authorities, police, courts or other public bodies where required by law or otherwise lawfully justified. We limit disclosures to information relevant to the purpose.

7 International transfers and security

Some service providers may store information or provide support from outside the United Kingdom. Where this involves a restricted international transfer, we require an appropriate legal transfer mechanism, such as applicable UK adequacy regulations or approved contractual safeguards, together with any additional protections needed. Contact us at info@stamfordtaxis.com for details of transfers relevant to your information and how to obtain a copy of the applicable safeguards.

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure. Access is limited to people who need it for their work. We require service providers handling information on our behalf to apply appropriate security measures.

8 How long we keep information

We keep personal information only for as long as necessary for its purpose, taking account of applicable legal duties and unresolved disputes. We then securely delete it or make it anonymous. We use the following criteria to determine retention:

Booking and journey records are kept for the period required by the applicable operator-licensing conditions and for as long as necessary to resolve a related complaint or claim. Financial records are retained for the applicable tax and accounting record-keeping period. Customer account information is kept while the account is in use; after closure, only information needed for outstanding payments, legal duties or unresolved matters is retained. Complaint and incident records are kept until the matter is resolved and any relevant legal retention or claims period has ended. Technical logs are kept for the time needed to investigate faults or security incidents. Call recordings are kept for 90 days, subject to the limited exceptions in section 5. Consent and opt-out records are retained as needed to demonstrate consent and prevent unwanted marketing.

9 Automated booking functions

Our booking software can calculate fares and allocate jobs using configured rules, including journey details and vehicle availability. These functions help us provide quotations and arrange your journey. Contact us if you want a quotation or booking reviewed by a person, or wish to question an automated outcome.

10 Your rights and complaints

Depending on the circumstances, you can ask us to provide access to your personal information, correct inaccurate information, delete information, restrict its use or provide certain information in a portable format. These rights are subject to legal conditions; for example, a deletion request does not override a duty to retain particular records.

Your right to object. You can object to processing based on our legitimate interests for reasons relating to your situation. You can object to direct marketing at any time, and we will stop using your information for that purpose.

Where we rely on consent, you can withdraw it at any time by contacting us. Withdrawal does not affect processing that was lawful before you withdrew consent.

Send requests or privacy complaints to info@stamfordtaxis.com, addressed to the Privacy Manager. We may ask for proportionate information to verify your identity. We normally respond to rights requests within one month, subject to lawful extensions or pauses; we will explain any applicable delay. To request deletion of your app account and associated personal information, email us with the subject “Account deletion”. Information that must be retained for legal obligations, outstanding payments or unresolved claims is kept only for the relevant period described in section 8.

You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. Contacting us first gives us the opportunity to investigate and put matters right, but does not remove your right to complain to the regulator.

11 Changes to this notice

We review this notice when our services or use of information change. We publish the current version on our website and make it available through the app where supported. Where required, we will draw significant changes to your attention before new processing begins.
